The terms that apply to every Cardworks order, and how we collect, use and protect information about you, your company and your employees.

Cardworks is a trade name of Dodeca Ventures, a sole proprietorship (eenmanszaak) registered with the Dutch Chamber of Commerce (KVK) under number 93569823, registered office at M.C. Grimberg-Huijserstraat 45, 3066JD Rotterdam, the Netherlands.

Where we act as a processor on behalf of a business customer, we are happy to enter into a separate Data Processing Agreement (DPA) covering that processing. You can download the DPA here or request it when placing your order.
The terms that apply to every Cardworks order. By submitting the order form or the data template, you agree to the terms below.
Cardworks games are custom-made products designed for organisations. Orders are placed by individuals acting on behalf of a business, association, or other organisation in the course of their profession or business (a "Business Customer"), not by consumers acting in a private capacity. References to "you" and "your" refer to the Business Customer placing the order.
As a result, consumer protection rules that apply to purchases by private individuals, including the statutory 14-day right of withdrawal for online purchases, do not apply to Cardworks orders. The "Cancelling your order" section below sets out the cancellation terms that apply instead.
By placing an order, you confirm that you are authorised to do so on behalf of your organisation, including agreeing to these terms, our Privacy Policy, and where applicable our Data Processing Agreement on its behalf.
All prices shown on this website are per copy and are tiered by volume:
The minimum order is 25 copies, and the data template requires a minimum of 25 unique employee entries (variants count toward this minimum, see our FAQ). An order is confirmed once we have received your completed order form and your payment.
Prices are shown exclusive of VAT. For Business Customers established in the Netherlands, 21% Dutch VAT is added to the invoice. For Business Customers established elsewhere in the EU with a valid VAT identification number, the VAT reverse-charge mechanism normally applies (0% Dutch VAT, "btw verlegd"). For Business Customers established outside the EU, the order is normally treated as an export at 0% Dutch VAT. We will confirm the applicable VAT treatment on your invoice based on the information you provide.
Once your order is confirmed, the process runs as follows:
We deliver within the Netherlands as standard, and ship across Europe with shipping costs confirmed before payment. If you have a specific delivery date in mind, let us know when you order and we will confirm whether it is achievable. We are not liable for delays caused by third parties, such as printing partners or couriers, that are outside our reasonable control.
Because every Cardworks game is custom-made to your specifications, using the names, traits, photos and other content you provide, we are not able to accept cancellations or returns once you have submitted your completed data template and production has started.
You may cancel your order free of charge, for any reason, at any time before you submit your completed data template. If payment has already been made at that point, we will refund it in full within a reasonable time.
Cardworks, including the game system, rules, mechanics, card templates, brand and artwork styles, is owned by Dodeca Ventures. Your order grants you a licence to use the printed game internally within your organisation, for example for team events, onboarding or as gifts to employees and clients. This licence does not include the right to reproduce, resell, or commercially redistribute the game, the rules, or the underlying templates and designs.
You retain ownership of the names, photos, and other content about your company and employees that you submit. By submitting this content, you grant us a licence to use it solely to design and produce your order, as described in our Privacy Policy and where applicable our Data Processing Agreement.
You can request updates to individual cards as part of a reorder, for example to reflect new hires, role changes or evolved traits. A reorder is treated as a new order and follows the same pricing, payment and delivery terms above, except that the 25-copy and 25-entry minimums do not apply to reorders: you may reorder any quantity of updated or replacement cards for an existing data template.
Our liability for any claim relating to an order is limited to the amount you paid for that order. We are not liable for indirect or consequential damages, including loss of business, goodwill, or data, except where such liability cannot be excluded under Dutch law (for example, in cases of intent or gross negligence).
We are not liable for any failure or delay in performing our obligations if this is caused by circumstances beyond our reasonable control, including but not limited to delays caused by printing partners or couriers, fire, illness, supply shortages, IT or network failures, or government measures. If such a circumstance continues for more than 60 days, either party may cancel the affected order, in which case we will refund any amount paid for work not yet carried out.
These terms are governed by the laws of the Netherlands. Any disputes will be submitted to the competent court in Rotterdam, the Netherlands, unless mandatory law provides otherwise.
How we collect, use and protect information about you, your company and your employees.
We collect information in two stages of an order.
When you fill in the order form (Typeform): your name, work email address, company name, number of copies, preferred card style and delivery address.
When you fill in the data template (Google Sheet), after payment: for each employee, their full name, job title, two selected personality traits, and either a photo or a request for a custom illustrated avatar. The template may also include names and descriptions for your company's locations, teams, processes, clients and events. Client entries can be anonymised at your discretion.
The personality traits used in the data template are playful, subjective labels chosen by you for use in the game, not formal assessments or official characteristics. We use them only to generate card text and artwork.
We use the information you provide solely to design, produce and deliver your custom Cardworks game, on the basis of performing our agreement with you. This includes:
We do not use employee photos, names or other content from your order for marketing, training of any kind, or any purpose beyond producing your order, unless you separately and explicitly agree (for example, if you allow us to use anonymised card designs as a portfolio example).
When you submit employee names, photos and other personal details through the data template, you do so as the data controller for that information under the GDPR, and Cardworks acts as your processor for that information. This means you are responsible for having a valid legal basis (such as consent or legitimate interest under your internal policies) to share your colleagues' information with us for the purpose of producing the game.

We use a limited number of trusted service providers (sub-processors) to run our order process and produce your game:
These providers are bound by appropriate contractual terms to use the information solely for the purposes described above. Some of these providers may process data outside the European Economic Area (for example, in the United States). Where this is the case, we rely on appropriate safeguards recognised under the GDPR, such as the EU Standard Contractual Clauses, to protect your information. A current list of sub-processors is available on request.
We do not sell, rent or trade your information, or your employees' information, to any third party.
We take appropriate technical and organisational measures to protect the information you share with us. Access to order data and data templates is limited to the people involved in producing your order, shared template links are not made publicly accessible, and we work with reputable providers such as Typeform and Google that maintain their own security standards.
We keep the data template, including employee photos and other personal details, for as long as needed to produce your order and handle any reorders, and normally for no longer than 12 months after delivery unless you ask us to delete it sooner or request that we retain it for a future reorder.
Invoicing and order administration data (such as your name, company name and amounts billed) is kept for as long as required by Dutch tax record-keeping rules, currently 7 years. This longer retention period applies only to financial and administrative records, not to the design content of your data template.
If you would like us to delete employee photos or other personal data sooner, contact us and we will do so, unless we are required to retain specific information for legal reasons.
Under the GDPR, individuals have the right to access, correct, or request deletion of their personal data, and to object to or restrict certain processing. If you are an employee whose details were included in a Cardworks order by your employer, your employer acted as the data controller for that submission, so we recommend contacting them first. We will also assist your employer in responding to your request where needed, and you are welcome to contact us directly with any questions.
If you believe your personal data has been handled incorrectly, you also have the right to lodge a complaint with the Autoriteit Persoonsgegevens (Dutch Data Protection Authority).
Our own website does not set tracking cookies or use analytics tools. Embedded third-party content (such as our Typeform order form) may set its own cookies or similar technologies when you use it. Please refer to that provider's privacy policy for details. If our use of cookies or analytics changes, this page will be updated.
We may update these terms and this policy from time to time, for example as our services or legal requirements change. The date at the top of this page reflects the most recent update.
